SHORT VERSION
We collect the business contact information and assessment answers you choose to send us, along with limited technical information about visits to this site. We use it to respond to you, arrange an assessment, follow up on your request, operate the site, and meet legal obligations. We do not sell personal information or use it for cross-context behavioural advertising.
1. Who we are and how to reach us
JFDI Media, LLC ("JFDI Media," "we," "us," or "our") operates jfdimediaco.com. For a question, access request, correction request, deletion request, or request to stop non-contract follow-up, contact us at:
2. Scope
This policy covers jfdimediaco.com, its public pages, assessment forms, booking flow, and correspondence about a request made through the site. It does not govern information JFDI Media processes for a client while delivering hosting, backup, recovery, or another contracted service. In that setting, the client controls the client data and the applicable service agreement, data-processing terms, and service documentation govern the processing.
3. Information we collect
Information you provide
When you submit a Hosting or Continuity assessment, we collect your name, work email address, company, role if provided, and the people involved in the decision if provided. We also collect the answers you submit about your current environment, such as hosting, system ownership, backup or restore status, recovery priorities, service providers, and timing. You may add free-text notes.
If you email us or reply to an email from us, we keep the message and the contact details included in it. If booking is enabled and you choose to schedule through the Calendly widget, we provide Calendly with your name, work email address, company, selected assessment context, and the booking event information needed to record that a meeting was scheduled.
Please do not submit credentials, passwords, backup-encryption keys, tenant administrator credentials, customer records, student records, health information, payment-card numbers, or other sensitive personal information through an assessment form. Contact us first if a secure exchange is needed.
Information collected automatically
Our website and infrastructure providers may process technical information such as IP-address-derived information, browser and device characteristics, pages requested, referring URL, timestamps, and security or error logs. We use this information to operate, secure, troubleshoot, and improve the site.
4. How we use information
| Activity | Purpose |
|---|---|
| Respond to an assessment or inquiry | Review the request, contact you, and arrange a conversation when appropriate. |
| Send limited follow-up | After a valid assessment submission, we may send up to three service-related follow-up emails if a booking has not been recorded. You can ask us to stop these messages at any time. |
| Record a booking | Prevent further assessment follow-up after a meeting is scheduled and prepare for the conversation. |
| Operate and protect the site | Maintain availability, prevent abuse, diagnose problems, and protect our systems and users. |
| Measure aggregate use | Understand page and conversion activity without sending form contents or contact details to our analytics service. |
| Meet legal obligations | Comply with applicable accounting, tax, recordkeeping, and legal requirements. |
Where the GDPR or UK GDPR applies, our legal bases may include taking steps at your request before entering a contract, performing a contract, pursuing legitimate interests in operating and improving our business and site, complying with legal obligations, and consent where the law requires it. We do not make decisions about you solely through automated processing that produce legal or similarly significant effects.
5. Service providers and disclosures
We do not sell personal information. We do not share personal information for cross-context behavioural advertising.
We share information with service providers that process it to help us operate the site and respond to requests, including:
- Manus WebDev, for website hosting, application infrastructure, and database services.
- SMTP2GO, to send intake notifications and assessment follow-up emails.
- Umami analytics, provided through our site platform, for privacy-focused aggregate site measurement.
- Calendly, only if you choose to use an enabled scheduling widget to book a meeting.
We may also disclose information when required by law, valid legal process, or to protect the rights, property, safety, or security of JFDI Media, our clients, or others. If JFDI Media is involved in a merger, acquisition, financing, reorganisation, or asset sale, information may be transferred as part of that transaction, subject to applicable law.
6. Analytics, cookies, and third-party scheduling
We use Umami to understand aggregate site and conversion activity. Our implementation does not send the contents of assessment submissions, work email addresses, company names, or other direct identifiers to Umami. It is configured as privacy-focused, cookie-free analytics for the site.
We do not use advertising cookies or advertising trackers on the site. We do not currently use non-essential cookies for our own analytics. If a Calendly booking widget is enabled and you choose to use it, Calendly may process information and use technologies under its own Privacy Notice. You may instead contact us at [email protected] to discuss scheduling.
7. How long we keep information
We keep assessment submissions, inquiry records, booking status, and related correspondence for as long as reasonably needed to respond to the request, manage a prospective or client relationship, maintain business records, resolve disputes, and meet legal obligations. We do not currently operate a fixed automated deletion schedule for assessments. When information is no longer needed for those purposes, we delete it or de-identify it where practicable, unless a longer retention period is required or permitted by law.
Client-service records and client data are retained under the applicable client agreement and service terms. Provider logs may be retained under the applicable provider's operational and security practices.
8. Client data processed for clients
When JFDI Media provides hosting, backup, recovery, or related services for a client, information inside the client's systems, backups, mailboxes, or collaboration environment remains subject to the client's instructions and contract. We do not use that client data for our own marketing or to train models. The client agreement and any applicable data-processing terms govern the service, retention, security, and approved sub-processors.
If you are an employee, customer, student, or other individual connected to one of our clients, contact that organisation about a request concerning its data. That organisation determines the purpose and means of processing its client data.
9. Security
We use reasonable administrative, technical, and organisational safeguards designed to protect the information we hold. No internet transmission, storage system, or service can be guaranteed completely secure. If a security incident affects your information, we will provide notice where required by applicable law.
10. Your choices and rights
Depending on where you live, you may have rights to request access to personal information, correction of inaccurate information, deletion, portability, restriction of certain processing, withdrawal of consent where consent applies, or information about our disclosures. You may also ask us to stop non-contract service follow-up.
Email [email protected] with your request. We may need to verify your identity, usually by confirming control of the email address associated with the request or by asking for limited information about the submission. We will respond within the time required by applicable law. If we deny a request, we will explain the reason and, where required, how to appeal the decision. We will not discriminate against you for exercising a privacy right.
11. International visitors
JFDI Media operates in the United States. If you submit information from outside the United States, you understand that your information may be processed in the United States and in other locations where our service providers operate. Those locations may have privacy laws that differ from the laws where you live. Where required, we will use appropriate transfer safeguards.
12. Children
This site is intended for businesses and institutions. We do not knowingly collect personal information from children under 18. If you believe a child has provided personal information through the site, contact us at [email protected] so that we can address the matter.
13. Changes to this policy
We may update this policy from time to time. We will post the revised policy on this page and update the “Last updated” date. If a change materially affects how we use information already provided to us, we will provide additional notice where required by law.
